THE SHORT ANSWER

Keep extracted fields connected to evidence and make unresolved documents visible.

Define what each field means

An invoice date might refer to issue, service or payment due date. Define the fields needed by the business record and provide examples. Decide what happens when several values look plausible. Clear definitions improve evaluation and prevent reviewers making incompatible decisions about otherwise similar documents.

Preserve source context

Connect proposed values to the relevant page or passage. Distinguish missing, unreadable and intentionally empty values. Those states may require different downstream actions. Reviewers should not search a long document just to discover why a field was proposed. Keep the original available under appropriate access and retention arrangements.

Validate with explicit rules

Check identifiers, formats and totals using ordinary code where possible. If line items do not reconcile, surface the discrepancy rather than invent an adjustment. Separate a failed business check from a failed extraction or transfer. Validation catches inconsistency; it does not prove that every plausible value is correct.

Build the exception queue

Include scans, duplicated documents and unfamiliar layouts in testing. Give staff a route to correct values and retry transfers safely. Measure review time and unresolved items as well as automated throughput. A system that handles routine documents quickly but loses unusual ones is not ready to replace a dependable manual process.
